Start earlier than feels necessary
Most office leases set a window for exercising a renewal option, commonly six to twelve months before expiration. A tenant who waits for the landlord's renewal letter has already lost time, and time is leverage. A credible relocation option needs roughly 18 to 24 months to build; see our relocation timeline.
Read what your lease already gives you
- Renewal option: the notice window, the term, and how the renewal rent is set (a fixed increase, or fair market value).
- Fair market value language: what counts as comparable, and whether concessions are factored in.
- Expansion, contraction, and termination rights you may be able to trade.
- Operating expense and tax provisions worth auditing before you commit again.
Create real competition
The strongest renewals come from tenants who could genuinely move. Touring two or three alternative buildings and obtaining proposals tells your landlord the market is open, and it gives you a measured view of what a move would actually cost.
Negotiate the package, not just the rate
A renewal can carry free rent, an improvement allowance to refresh the space, and corrected operating expense terms. Our concessions tracker shows what packages look like by building class.
Consider restructuring, not just renewing
If the organization has changed shape, a blend-and-extend or a contraction can lower cost without a move. When American Farmland Trust needed a better space at a lower cost, the answer was a move to a building whose shared amenities let them lease less space: $150,000 a year in savings.

After a national tenant rep firm left them without the attention they needed, AFT moved into a brand-new, fully furnished Class A space and saved $150,000 a year.

When should I start negotiating an office lease renewal?
Begin 18 to 24 months before expiration, and well before any renewal option notice window closes.
Does a tenant rep cost anything on a renewal?
Clarity is paid by the landlord through a market-standard commission, so there is no out-of-pocket cost to the tenant.
